Invitation to tender for the supply, delivery and installation of IT equipment and network infrastructure for the Vocational Training Council campus. This includes hardware equipment, professional installation services, warranty services and ongoing maintenance support.
Supply, delivery, installation and commissioning of IT equipment and network infrastructure for VTC Campus including: 1. Desktop computers and workstations 2. Network switches and routers 3. Server equipment and storage systems 4. Cabling and network infrastructure 5. Software licenses and configuration 6. Professional installation services 7. Training and knowledge transfer 8. Post-installation support and maintenance
1. IT equipment delivered and installed per specifications 2. Network infrastructure fully operational 3. All software licensed and configured 4. User acceptance testing completed 5. Technical documentation and manuals provided 6. Staff training sessions delivered 7. Warranty certificates for all equipment 8. As-built drawings and network diagrams
Phase 1: Order confirmation and procurement - 2 weeks Phase 2: Equipment delivery - Within 30 days of purchase order Phase 3: Installation and configuration - 2 weeks Phase 4: Testing and commissioning - 1 week Phase 5: User acceptance and handover - 1 week Total project duration: Approximately 10 weeks
- Response time for critical issues: 4 hours - Response time for non-critical issues: Next business day - Equipment uptime guarantee: 99.5% - On-site support during warranty period - Replacement of defective equipment within 48 hours
1. All equipment matches specifications in tender requirements 2. Successful installation and integration testing 3. Network connectivity verified across all endpoints 4. Performance benchmarks met as specified 5. Documentation and training materials delivered 6. Sign-off by VTC IT Department
1. Valid business registration certificate 2. Minimum 3 years of experience in IT equipment supply 3. ISO 9001 certification or equivalent 4. Certified partnership with major IT equipment manufacturers 5. Public liability insurance

Payment for hardware equipment and any professional / installation / warranty services will be made within 30 days after acceptance of the goods. Maintenance services (if required) will be payable annually in advance, upon commencement of maintenance or receipt of invoice, whichever is the later, with 30 days credit.
Tenderers may offer counter-proposal(s) to the item(s) specified in the Tender Schedule, which are considered capable of performing the essential functions/features of the item(s), for consideration by the Council. In offering counter-proposals, tenderers are requested to provide technical details/specifications of the item(s) and highlight those aspect(s) that deviate(s) from the tender specifications as far as practicable.
Tenderers must not disclose any information contained in the tender documents to any third party without the prior consent of the Council. The Council may reject a tender submitted by a tenderer who is in breach of this instruction.
The contractors, his sub-contractors of all tiers, all persons employed by him, and any other persons authorized by him or his sub-contractors to work for the VTC premises are required to comply with all safety requirements called for by the Laws of Hong Kong, the Factories and Industrial Undertakings Ordinance and Regulations, the Occupational Safety and Health Ordinance and Regulations, and any other prevailing legislations, regulations, codes of practice and guidance notes.
Suppliers/Companies are requested to note that those which did not respond to this tender invitation will not be further notified of any subsequent change(s) to the tender requirement(s) or provided with any further information arising out of or in connection with this tender exercise.
